We ran Al Noor Building Materials Trading LLC's customer list and invoice history against the data requirements of the UAE electronic invoicing system. 833 of your 2,470 invoices (34%) carry at least one fault that will cause the invoice to be rejected — meaning it is never delivered to your customer and never becomes payable. There are 22 distinct blocking problems behind that number, listed below in the order we would fix them.
These will be rejected. Every one has to be resolved before go-live.
482 invoices are in a foreign currency but do not also state the amounts in dirhams. Where an invoice is not in dirhams, the tax and line amounts must appear in dirhams as well. Most accounting systems do not do this today.
e.g. INV-4101 — USD, no dirham columns in the export · INV-4102 — EUR, no dirham columns in the export · INV-4114 — USD, no dirham columns in the export · INV-4120 — SAR, no dirham columns in the export … and 478 more
Value on these records: AED 1.9m
Fix: This is a system change, not a data fix, and it is usually the largest single job on the list. Start it first — it needs your software vendor.
464 invoice lines where the net amount plus the tax amount does not equal the line total.
e.g. INV-4112 — 117,449.38 + 5,872.50 = 123,321.88, total says 123,322.50 · INV-4113 — 108.80 + 5.66 = 114.46, total says 114.24 · INV-4114 — 28.20 + 1.53 = 29.73, total says 32.13 · INV-5908 — 4,588.50 + 238.61 = 4,827.11, total says 4,817.93 … and 460 more
Value on these records: AED 1.3m
Fix: Check the export itself first — often the total column is calculated somewhere else and has drifted from the figures beside it.
229 invoice lines carry a tax amount that does not equal the net amount times the rate applied. Every line is checked individually once invoices are structured, so these will be rejected.
e.g. INV-4113 — net 108.80 at 5% = 5.44, found 5.66 · INV-4114 — net 28.20 at 5% = 1.41, found 1.53 · INV-5908 — net 4,588.50 at 5% = 229.43, found 238.61 · INV-4128 — net 300.00 at 5% = 15.00, found 15.60 … and 225 more
Value on these records: AED 447k
Fix: Almost always a rounding order problem on discounted lines. Fix the calculation in the source system, not the exported figures.
152 invoice lines do not add up: quantity times unit price, less discount, does not equal the net amount on the line.
e.g. INV-4114 — expected 30.60, found 28.20 (off by -2.40) · INV-4129 — expected 686.40, found 686.77 (off by 0.37) · INV-4146 — expected -9,009.00, found -7,371.00 (off by 1,638.00) · INV-4174 — expected -7.64, found 6.92 (off by 14.56) … and 148 more
Value on these records: AED 63k
Fix: Usually the order in which discounts and rounding are applied. Detail per line is in the attached workbook.
135 invoice lines have no tax category. Every line must state which tax treatment applies — standard rated, zero rated, exempt, out of scope or reverse charge.
e.g. INV-5914 — category blank · INV-5915 — category blank · INV-6010 — category blank · INV-4491 — category blank … and 131 more
Value on these records: AED 425k
Fix: Set a default category on each item in your product master so it flows onto the invoice automatically. Doing it invoice by invoice will not hold.
130 invoice numbers appear more than once in the period scanned. Every invoice must carry a number that is unique across the whole company — including across branches and any second system.
e.g. INV-5901 — 2 different documents share this number · INV-5902 — 2 different documents share this number · INV-5903 — 2 different documents share this number · INV-5904 — 2 different documents share this number … and 126 more
Value on these records: AED 2.2m
Fix: Put a branch or series prefix on the numbering before go-live. Multi-branch companies almost always find this, and it is far cheaper to fix now than after.
118 customers have the country written out in words — 'UAE', 'Dubai', 'United Arab Emirates'. The required value is the two-letter country code, which for the UAE is AE.
e.g. C1009 — 'United Arab Emirates' -> should be AE · C1013 — 'Dubai' -> should be AE · C1016 — 'United Arab Emirates' -> should be AE · C1029 — 'UAE' -> should be AE … and 114 more
Fix: A single find-and-replace fixes almost all of these. We can return the corrected file.
109 invoice lines use a tax category that is not on the official code list — usually a code someone invented when the system was set up.
e.g. INV-5925 — 'TAXABLE' · INV-4209 — 'NONE' · INV-5937 — 'NONE' · INV-4258 — 'VAT5' … and 105 more
Value on these records: AED 243k
Fix: Map every internal code onto an official category. It is a short lookup table and it only has to be built once.
88 invoice lines where the category and the rate disagree — a zero-rated line carrying tax, or a standard-rated line carrying none.
e.g. INV-4163 — category Z with rate 5% · INV-5924 — category Z with rate 5% · INV-5927 — category Z with rate 5% · INV-4283 — category Z with rate 5% … and 84 more
Value on these records: AED 204k
Fix: Correct the category, not the rate, unless the rate is genuinely wrong. Attached workbook shows both values per line.
68 invoices are in a currency other than dirhams but carry no exchange rate. The rate used is a required part of the invoice.
e.g. INV-4101 — USD, no rate · INV-4102 — EUR, no rate · INV-4164 — DIRHAM, no rate · INV-4210 — EUR, no rate … and 64 more
Value on these records: AED 777k
Fix: The rate must come from the source system at the moment of invoicing. If your system does not store it, that is a system change — flag it to your software vendor now.
64 invoices where the individual lines do not sum to the total on the invoice header.
e.g. INV-5904 — lines total -6,872.80, header says 6,872.80 (off by -13,745.60) · INV-4146 — lines total -10,863.83, header says 10,863.83 (off by -21,727.66) · INV-5936 — lines total 3,963.46, header says 3,844.56 (off by 118.90) · INV-4285 — lines total 997.50, header says 967.58 (off by 29.92) … and 60 more
Value on these records: AED 215k
Fix: Usually a header total that was overtyped, or lines missing from the export. Worth resolving before anything else in this group.
63 customers have only a PO Box recorded. A PO Box on its own is not an address — a physical street or building address is required.
e.g. C1005 — 'P.O. Box 14295' · C1006 — 'P.O. Box 38154' · C1022 — 'P.O. Box 80974' · C1026 — 'P.O. Box 33086' … and 59 more
Fix: Ask for the physical location: building, street and area. A PO Box can stay as an additional line but cannot be the only one.
60 customers have no tax identifier recorded. An invoice to these customers has no address to be delivered to and cannot be sent at all.
e.g. C1003 — no tax number of any kind · C1015 — no tax number of any kind · C1033 — no tax number of any kind · C1038 — no tax number of any kind … and 56 more
Fix: Request the 10-digit tax identifier from each of these customers. The full list is attached and ready to mail-merge.
57 customer records hold a VAT number that does not match the required format. A UAE VAT number is exactly 15 digits and begins with 100.
e.g. C1012 — 'not registered' -> 0 digits · C1014 — '1027645121' -> 10 digits · C1019 — '20038475610293' -> 14 digits · C1036 — '1001234567890' -> 13 digits … and 53 more
Fix: Verify each on the tax authority's public TRN check. The shortlist is attached — these are the only ones that need checking by hand.
41 customers have no city or emirate recorded in its own field.
e.g. C1017 — city blank · C1018 — city blank · C1081 — city blank · C1099 — city blank … and 37 more
Fix: Populate the city field. In most exports the city is sitting inside the address line and simply needs splitting out.
40 customer records hold a tax identifier that is not 10 digits long. It will be rejected as an invalid identifier.
e.g. C1014 — '100153855100017' -> 15 digits · C1021 — '104387219012' -> 12 digits · C1028 — 'TIN pending' -> 0 digits · C1049 — '100813953876160' -> 15 digits … and 36 more
Fix: Check each against the customer's trade licence or tax certificate. Most are typing errors, truncated numbers, or a VAT number entered in the wrong field.
30 customer records carry a tax number that also belongs to another customer. Either they are the same company entered twice, or — more often — a placeholder number was typed in once and copied. Invoices routed on a shared number reach the wrong party.
e.g. C9262 — tax number 1085399503 also used by C1011 · C9297 — tax number 1061852975 also used by C1017 · C1025 — tax number 1029384471 is shared by 14 customers · C1035 — tax number 1029384471 is shared by 14 customers … and 26 more
Fix: Look at the numbers shared by three or more customers first; those are almost always a placeholder someone entered to get past a mandatory field. Each customer needs its own verified number.
29 invoices carry a currency that is not a valid three-letter currency code — values like 'Dhs', 'AED.' or a currency symbol.
e.g. INV-4164 — 'Dirham' · INV-5953 — currency blank · INV-4341 — currency blank · INV-4391 — '$' … and 25 more
Value on these records: AED 652k
Fix: Map every currency to its proper ISO code (AED, USD, EUR). This is a lookup table fix, not a per-invoice one.
26 customers have no address recorded. A structured address is mandatory on every invoice.
e.g. C1004 — address blank · C1020 — address blank · C1034 — address blank · C1048 — address blank … and 22 more
Fix: Collect the physical address for each. Attached list is ready to send out.
22 customer records have the two tax numbers in each other's fields — a 15-digit VAT number sitting in the identifier column, or a 10-digit identifier in the VAT column. This is the single most common data fault we see.
e.g. C1014 — identifier=100153855100017 (15) / vat=1027645121 (10) · C1049 — identifier=100813953876160 (15) / vat=1043079761 (10) · C1052 — identifier=100787458427292 (15) / vat=1011840574 (10) · C1103 — identifier=100775786014156 (15) / vat=1048916059 (10) … and 18 more
Fix: Swap the two columns for these records. It is a one-off correction and we can return the corrected file.
18 invoices have a date that cannot be interpreted as a real date.
e.g. INV-4117 — '31/02/2026' · INV-4288 — '00/00/0000' · INV-5959 — '31/02/2026' · INV-5961 — '31/02/2026' … and 14 more
Value on these records: AED 62k
Fix: Fix the source records. Dates must resolve to a real calendar date; blank, text and malformed values are all rejected.
11 invoices are dated in the future or implausibly far in the past.
e.g. INV-5933 — 2027-11-15 · INV-5940 — 1999-09-03 · INV-4820 — 2027-11-15 · INV-5027 — 2126-07-12 … and 7 more
Value on these records: AED 15k
Fix: These are almost always typing errors in the year. Correct them at source before the data is used to build invoices.
These may be rejected depending on the transaction, and several are audit risks in their own right.
115 invoice lines describe an export or a designated-zone supply but are categorised as an ordinary domestic sale. If these are genuinely exports they are being taxed when they should not be.
e.g. INV-4112 — 'Re-export of steel coil to Doha' at 5% · INV-4151 — 'Re-export of steel coil to Doha' at 5% · INV-5924 — 'Export consignment - cement to Oman FOB Jebel Ali' at 5% · INV-4191 — 'Export consignment - cement to Oman FOB Jebel Ali' at 5% … and 111 more
Value on these records: AED 7.0m
Fix: Review with whoever handles your tax return. This one can be costing you money today, independently of the invoicing change.
81 invoice lines carry a negative quantity or a negative price on a document that is not a credit note.
e.g. INV-5904 — qty -15.0, price 3.2 · INV-4146 — qty -18.0, price 150.0 · INV-4174 — qty 2.0, price -3.64 · INV-4312 — qty 2.0, price -4500.0 … and 77 more
Value on these records: AED -156,376
Fix: Returns and adjustments belong on a credit note. Negative lines inside an invoice are a frequent cause of rejection.
40 customers are recorded under a short or trading name rather than the full legal name on their trade licence. Where the name does not match the licence, invoices can be queried or refused by the buyer.
e.g. C1007 — 'Desert Cement 55' · C1008 — 'Desert Cement 50' · C1011 — 'Falcon Trd 50' · C1023 — 'Gulf Steel 92' … and 36 more
Fix: Verify against each customer's trade licence and record the full legal name including its legal form (LLC, FZE, DMCC and so on).
24 customers have a free zone name where the address should be. A zone is not a location — the unit, building and street are still required.
e.g. C1000 — 'Dubai Airport Free Zone' · C1002 — 'Hamriyah Free Zone' · C1010 — 'Dubai Airport Free Zone' · C1027 — 'DMCC' … and 20 more
Fix: Ask these customers for the full address on their trade licence, including the unit or office number.
23 documents carry negative amounts but are typed as invoices. A refund or return must be issued as a credit note, which is a different document type.
e.g. INV-5904 — total -50.40, type 'invoice' · INV-4146 — total -2,835.00, type 'invoice' · INV-4564 — total -3,087.00, type 'invoice' · INV-4583 — total -1,432.20, type 'invoice' … and 19 more
Value on these records: AED 64k
Fix: Reclassify these as credit notes in the source system, and make sure the export carries the document type.
2 invoices carry lines at different tax rates but a single tax category across all of them. Mixed supplies have to be categorised line by line.
e.g. INV-6117 — rates [0.0, 0.05] all under category TAXABLE · INV-6461 — rates [0.0, 0.05] all under category Z
Value on these records: AED 32k
Fix: Review these invoices individually. They are the ones most likely to be picked up in an audit as well as rejected by the system.
Dates in this export are written in a format where the day and the month can be read either way round. Read the wrong way, invoices land in the wrong tax period and the wrong return.
e.g. (whole file) — 970 of 2,470 invoices could be read either way (e.g. 01/05/2026, 01/07/2026, 01/08/2026)
Fix: Agree one unambiguous date format at export — year-month-day is safest — and confirm which way the existing values should be read.
These will not be rejected, but they cause disputes and duplicated work.
16 customer records look like duplicates of another record — the same company entered under different spellings or codes. Once invoices are routed by tax identifier, duplicates cause invoices to be sent under inconsistent details.
e.g. C9262 — same name as C1011 · C9297 — same name as C1017 · C9147 — same name as C1068 · C9780 — same name as C1089 … and 12 more
Fix: Merge the duplicates and keep the record whose name matches the trade licence. Suggested merge groups are attached.
